Privacy Notice
Version 1.3 — effective July 25, 2026.
1. About this notice
This notice explains what personal information may be collected when you visit callbison.com, call us, chat or message with us, or request an appointment; how it may be used or shared; and the choices available to you. "CallBison," "we," "us," and "our" refer to Heegstra LLC, the U.S. company operating the CallBison brand. CallBison is a referral and appointment-coordination service, not a plumbing contractor; your contract for plumbing work is with the independent provider matched to your request.
2. What we collect
Depending on how you interact with us, we may collect:
- Service requests: your name, phone number, service address, email if provided, a description of the problem, photos you choose to send, scheduling preferences, and notes from our intake conversation.
- Calls: if you call us, we call you, or you start a voice call through the live-chat widget, the call may be recorded and transcribed after a notice at the start of the call. Recordings and transcripts include what you say on the call. Please do not read out payment-card numbers or other sensitive data.
- Messages and chat: the content of texts, WhatsApp messages, emails, and live-chat conversations with us, plus delivery metadata.
- Appointment records: the matched provider, offered and agreed times, confirmations, cancellations, and outcome notes we need to run the service.
- Analytics, if you accept it: a pseudonymous browser identifier, pages viewed, referring source, timestamps, approximate location, and browser or device information.
- Technical and security data: IP address, browser or device type, requested page, timestamps, and security signals used to deliver and protect the site.
3. How we use information
We use personal information to: check whether your address is in the service area; match your request with an independent licensed plumbing company and arrange the appointment; send confirmations, reminders, and changes about your request by phone, email, SMS, or WhatsApp; keep records of appointments, recordings, chats, and transcripts for coordination, quality, training, and documentation; understand aggregate site use and improve the service, if you accept analytics; send marketing email with a working unsubscribe in every message, and send marketing texts or WhatsApp marketing only with your separate affirmative permission; prevent spam, fraud, misuse, and security incidents; and maintain appropriate records, comply with law, and protect legal rights.
Providing your phone number so we can arrange an appointment is not consent to marketing calls, marketing texts, or WhatsApp marketing, and none of your choices about marketing messages or cookies affects whether we arrange your appointment.
4. The plumbing company matched to your job
CallBison is paid by participating plumbing companies for qualified appointments. You do not pay CallBison. We provide your request details — such as your name, contact information, service address, problem description, photos, and the agreed time — only to the one independent plumbing company matched to that job, not to a list of competing providers. The company uses those details to respond to, perform, document, and follow up on your request under its own privacy practices and legal responsibilities, and it may contact you about your request. It may ask you separately for permission to send marketing. Permissions you give CallBison — service SMS or WhatsApp messages, marketing choices, or email — are not transferred to the company and do not authorize the company's marketing. Ask the provider directly about its privacy practices; we remain responsible for what CallBison itself does with your information under this notice.
5. Service providers and disclosure
We use service providers for hosting and security, telephony (including call recording and transcription where used), live chat and analytics, messaging (SMS, WhatsApp, email), scheduling and customer management, and normal business operations. They may process information as needed to provide those services, subject to their contracts and law. Zoho Corporation provides SalesIQ live chat and, only if you accept it, SalesIQ visitor analytics; Google provides Google Analytics 4 after analytics consent; and Meta Platforms provides WhatsApp messaging after you opt in to that channel. We may disclose information when legally required or to protect rights, safety, systems, or the service. We and our service providers may process information in the United States and other countries where they or authorized personnel operate; those locations may have different data-protection laws, and we use providers and safeguards appropriate to the information and service.
6. Zoho SalesIQ, Google Analytics, cookies, and consent
Necessary technology: hosting, security, and bot-protection services may use strictly necessary cookies or storage to deliver the site and prevent abuse. The live-chat widget (Zoho SalesIQ) is part of the site so you can reach us at any time; it sets no cookies until you accept a choice below or start a chat, and starting a chat sets only the cookies or storage needed to run your conversation. Chat works without optional visitor profiling. The site also stores your consent choices locally so it can remember them. None of this is used for advertising.
Optional, only with your consent — one choice per purpose, none pre-selected:
- Visitor analytics (Zoho SalesIQ): recognizes your browser across visits to show us how the site is used.
- Site analytics (Google Analytics 4): loads only if you accept analytics; uses
first-party
_gacookies, which Google sets for up to two years unless browser limits or our settings shorten that period; advertising features, Google Signals, and ads personalization are off.
"Accept" and "Reject" are equally easy, rejecting keeps the whole ordinary site available, and you can change your choice anytime via "Cookie settings" in the footer. We remember your choice for up to 13 months, unless a material change requires us to ask sooner. We do not use advertising cookies, and if we ever introduce call tracking or similar tools, we will update this notice and ask for your consent first. Because there is no uniform Do Not Track standard, the site does not respond differently to Do Not Track signals; we will honor legally recognized browser signals if our practices make them applicable.
7. Calls, recording, and transcription
Calls with CallBison may be recorded and transcribed for appointment coordination, service quality, staff training, and documentation. If a call will be recorded or transcribed, we let you know at the beginning of the call, before we discuss your request; continuing after that notice records your consent to the extent permitted by law. If you prefer not to be recorded, tell us — where operationally feasible we will offer an unrecorded alternative (such as the form or email), or end the recording and help you another way. Recordings and transcripts are accessible only to people and providers who need them to run the service, are kept only as long as reasonably needed for those purposes unless a dispute, legal obligation, or business record requires longer, and are deleted on request where no such exception applies. We never intentionally record payment-card data.
8. Service communications, WhatsApp, and marketing
Service messages. Confirmations, scheduling changes, arrival updates, and other communications about your request are service messages, not marketing. By submitting a request through a form that displays our communications notice, or by asking us to arrange an appointment after the equivalent notice on a call or in chat, you agree that we may contact you about that request by phone, email, automated SMS, and WhatsApp at the number you provide. Message frequency varies; message and data rates may apply. Provide a mobile number at which you are the subscriber or customary user. If someone else should receive messages, we will obtain that person's own consent first.
WhatsApp. You opt in to WhatsApp service messages when you submit a request through a form that expressly names WhatsApp, clearly agree after the disclosure on a recorded call or in a recorded chat, or message CallBison first through WhatsApp. WhatsApp is a Meta Platforms service, and its own terms and privacy policy also apply.
A STOP message or other reasonable revocation ends CallBison's automated SMS and WhatsApp messages to that number, including service and marketing messages, unless you clearly ask to stop only a specific channel or category. We may send one non-marketing confirmation permitted by law, and essential appointment updates will then use an available channel you have not stopped. Not receiving SMS or WhatsApp messages never affects whether we arrange your appointment.
Marketing email: if you provide an email address, we may also send occasional emails about CallBison services and offers. Every marketing email identifies CallBison (Heegstra LLC), includes our postal address, and has a working one-step unsubscribe that stays available for at least 30 days after the send; we honor unsubscribes within 10 business days and keep a suppression list so opted-out addresses are not emailed marketing again. Service emails about your appointment are separate and not affected by a marketing opt-out.
Marketing texts and WhatsApp marketing require separate affirmative permission. The ordinary service-request agreement above does not authorize marketing. We send recurring automated marketing texts only after you actively select a separate marketing choice that starts unselected on a form or use another legally valid written method. We send WhatsApp marketing only after you separately agree following a clear disclosure on a form, recorded call, or recorded chat. Marketing consent is never a condition of requesting or receiving service. Reply STOP to end automated messages or HELP for help. We keep records of what you agreed to, the disclosure presented, the channel, and when and how you agreed, and we honor STOP, unsubscribe, and other reasonable revocations promptly across our sending systems.
Mobile information: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not share mobile opt-in data, including phone numbers collected for SMS consent, with anyone for their marketing; sharing with subcontractors who help us deliver messages (such as our SMS platform) is limited to that purpose. Text messaging originator opt-in data and consent are excluded from any other sharing. Opting out: reply STOP to any message.
9. Retention
Retention depends on the purpose, our relationship with you, legal obligations, possible disputes, and provider backup or security schedules. As a rule: service-request and appointment records — including chat transcripts — are kept as long as reasonably needed to run, document, and improve the service and to meet legal, tax, and dispute obligations; call recordings and transcripts per §7; and for marketing opt-outs we keep the minimum suppression evidence needed to keep honoring your opt-out — not the full message history. We delete or anonymize information when it is no longer reasonably needed, subject to lawful exceptions.
10. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or obtain a copy of your information, object to certain uses, or withdraw consent. To make a request, email info@callbison.com with the subject "Privacy request," or write to the address below. Include your name, preferred contact method, and enough detail to identify the information. We may reasonably verify your identity or an agent's authority, and we handle requests within the time required by applicable law. Rights may be limited by legal exceptions, including records we must keep. The matched plumbing company is an independent business: we can forward your request to it, but we cannot delete its records for it — contact the provider directly for its own records, and tell us too.
11. Selling, sharing, and advertising
We do not sell contact lists and do not disclose personal information for cross-context behavioral advertising. The paid appointment arrangement described in §4 — providing your request details to the one plumbing company matched to your job — is the only provider referral use. We do not knowingly allow other parties to collect your activity on this site over time and across unrelated websites for advertising.
12. Children and security
Our service arranges home plumbing appointments and is not directed at children under 16; we do not knowingly collect their personal information — contact us if you believe a child has submitted information. We use reasonable administrative and technical safeguards appropriate to the information we handle, and we require the matched provider to protect the request details we share with it. No website, transmission method, or storage system is completely secure.
13. Changes and contact
This version is effective July 25, 2026. If our practices change, we will post the updated notice here and change the version and effective date. We will not materially expand how we use previously collected information without additional notice or consent where required.
